We’ve all been there. You press the print button and…nothing, or even worse, a messy or faded printout. Printers can be temperamental beasts, especially after sustained use. However, you can swiftly bring them back online with a little knowledge and TLC. Here’s how to troubleshoot a printer that won’t print. Keep these tips in mind the next time you experience the disappointment of a failed print.

On and Off and On Again

It’s embarrassing to admit, but sometimes we overlook the most obvious answers to our problems. A failure to print can have as basic a cause as a failure to turn the printer on. Make sure the switch is in the “on” position. If not, well, the answer is obvious. Naturally, sometimes the solution is not so simple. Check to see if there’s a loose power cord. No power means no printing, obviously. Follow the eternal piece of advice from IT professionals from time immemorial: Try turning it off and on again. Move on to the next step if that doesn’t work.

You Must Adjust

Some printers need all their ducks in a row to work as the saying goes. Is the paper tray empty? Did you install the ink cartridges correctly? A single slightly ajar element can put the brakes on the printer’s operation. Observe the monitor and see if there are any error messages. Follow the owner’s manual and adjust accordingly. Close the printer again when you’re done. Make sure you hear the click, signifying it’s back in business.

Making Connections

Are the printer and computer communicating? Check the wired connections first. Make sure you plug everything in correctly so the computer and printer can share information. Run a diagnostic and see if the printer and computer can “see” one another if your printer is wireless. Reboot the router and set up a new connection if they’re having trouble connecting. Be sure to connect the printer to the right network if more than one is available. Also, check that the network’s signal is strong and secure. Review the print queue. A print job may be electronically blocking the printer’s activity. Delete it and resend the document. Still having issues? It might be a software or hardware issue. Fortunately, multiple Windows troubleshooting tools are available that can diagnose and repair many issues.

Keep It Clean

Sometimes the printer can’t print because it’s a bit dirty. Wipe down your printer regularly and take time to vacuum the exterior and interior, keeping it clear of toner and debris. Inspect the rollers and the space between the tray and output area for jams. The nozzles that deliver the toner or ink can become clogged. Run a diagnostic. Activate the device’s cleaning function to clear the nozzles or print heads if you find a clog. Check the ink levels as well. The machine may hesitate to perform a job if it lacks the toner to do so.
